1. Who We Are
KeyDeals (“KeyDeals,” “we,” “us,” or “our“) operates the website keydeals.co. We are an independent reseller of genuine Microsoft Office 365 licenses and are not affiliated with, endorsed by, or sponsored by Microsoft Corporation.
If you have any questions about this policy or how we handle your data, contact us at:
- Email: contact@keydeals.co
- Phone/WhatsApp: +44 7411 658028
2. Information We Collect
We collect information in the following ways:
Information you give us directly. When you place an order using the sign-up form on our website, we collect your name, email address, phone number, and the username you would like for your Office 365 account. We use these to create the account and to send you your login details and payment link. If you contact us on WhatsApp or by email for support, we also receive your phone number or email address and the contents of that conversation.
Account credentials we create for you. To deliver your order we create a Microsoft account on our keydeals.email domain and generate a temporary password, which we email to you. We ask you to change that password as soon as you first sign in. Once you have changed it, we no longer have access to your password.
Payment information. Payments are processed entirely by Stripe, a third-party payment processor. When you pay via a Stripe payment link, your card details are entered directly into Stripe’s secure checkout — we do not see, receive, or store your full card number, expiry date, or CVC. We only receive confirmation that a payment was made, along with the amount and a Stripe transaction reference.
Information collected automatically. When you visit keydeals.co, we automatically collect certain technical information via Google Analytics, including your approximate location (city/country level), device and browser type, pages viewed, and how you arrived at our site. This is collected using cookies and similar tracking technologies.
Server logs. Our hosting provider automatically logs standard technical data (IP address, browser type, timestamps) for security and troubleshooting purposes.
We do not collect any government ID numbers, financial account numbers, or special category data (e.g. health, religious, or biometric information).
3. How We Use Your Information
We use the information we collect to:
- Process and fulfil your order, including delivering your Microsoft account details
- Communicate with you about your purchase and respond to support requests
- Detect and prevent fraud or abuse
- Understand how visitors use our website, so we can improve it
- Comply with our legal and accounting obligations
4. Legal Basis for Processing (UK/EU Visitors)
Where UK GDPR or EU GDPR applies, we rely on the following legal bases:
- Contract — to process your order and deliver what you’ve purchased
- Legitimate interests — to prevent fraud, secure our website, and improve our service
- Consent — for non-essential analytics cookies (see Section 6)
- Legal obligation — to keep records required for tax and accounting purposes
5. Who We Share Your Information With
We do not sell your personal information. We share it only with the following third parties, solely to run our business:
| Third party | Purpose | What they receive |
|---|---|---|
| Stripe | Payment processing | Payment details you enter at checkout |
| n8n (self-hosted automation) | Passing form submissions into our order records | Name, email, phone number, chosen username |
| Google (Sheets / Drive) | Storing our internal order records | Name, email, phone number, chosen username |
| WhatsApp / Meta | Customer support only (optional) | Your phone number and any messages you send us |
| Google Analytics | Website analytics | Anonymised/aggregated browsing behaviour |
| Hosting provider (Hostinger) | Website hosting and infrastructure | Server logs, site data |
Each of these providers processes data under their own privacy policy. We do not share your data with Microsoft or any other party for advertising purposes.
We may also disclose information if required by law, or to protect the rights, property, or safety of KeyDeals, our customers, or others.
6. Cookies
Our website uses cookies set by Google Analytics to understand site traffic. These are not strictly necessary for the site to function. You can control or disable cookies through your browser settings at any time, or opt out of Google Analytics using Google’s browser add-on.
7. Data Retention
We retain form submissions, order records and transaction records for as long as needed to fulfil your order, handle any refund or support request, and meet our legal/tax record-keeping obligations (typically up to 6 years for financial records under UK law). Analytics data is retained according to Google Analytics’ default retention settings.
8. International Data Transfers
Because we operate online and use providers like Stripe, Google, WhatsApp/Meta, and Google, your information may be transferred to and processed in countries outside your own, including the United States. Where this happens, these providers maintain their own safeguards (such as Standard Contractual Clauses) to protect your data.
9. Your Rights
If you are located in the UK or EU, you have the right to:
- Request access to the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict certain processing
- Request a copy of your data in a portable format
- Withdraw consent at any time (where processing is based on consent)
- Lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk, or your local data protection authority
To exercise any of these rights, email contact@keydeals.co. We’ll respond within one month.
If you are a California resident, you have similar rights under the CCPA, including the right to know what personal information we collect and to request its deletion. We do not sell personal information.
10. Children’s Privacy
Our services are not directed at children under 16, and we do not knowingly collect personal information from children.
11. Security
We take reasonable technical and organisational measures to protect your information, including using HTTPS encryption on our website and relying on PCI-compliant processors (Stripe) for payment handling. However, no method of transmission or storage is 100% secure.
12. Changes to This Policy
We may update this policy from time to time. The “Last updated” date at the top of this page will reflect the most recent revision. Continued use of our website after changes means you accept the updated policy.
